A compliance manager answers three people: the SIA inspector, the ACS assessor and the client’s auditor. Each asks the same questions in a different order: is every officer licensed, screened and entitled to work, and can you prove the service was delivered and complaints were acted on? BOOK ON puts the answers in a working queue rather than a filing cabinet: the SIA renewal queue with next actions and last-checked dates, the HR dashboard’s pending screening lists and expiry tables, P-Files with progress rings, the registers, and the Compliance and ACS Evidence reports.

What a compliance manager gets
Licences as a queue
Every SIA licence with its expiry, days remaining and a next action: renew, retrain, new application or manual review, with the date BOOK ON last checked it. Subcontractor officers in their own tables.
Screening as a list
Pending Telephone Screening and Pending BS 7858 lists with days since registration; the documentation and vetting checklist per officer; P-File progress rings.
Right to work that does not lapse
Visa and passport expiry tables with days remaining, share codes on the checklist, and the live monitor’s SIA and right-to-work filter.
Registers an assessor expects
Complaints, service reviews and CAPA, equipment, contracts, questionnaires, forms, additional certifications and the approved supplier register.
Evidence by report
Compliance and ACS Evidence reports, HR reports, the Training Matrix, the Disclaimer report and the Check Calls Log / Lone Worker report.
Training arranged
Training provider tabs find centres by postcode, invite them, track officers due and bookings, and record commission and payments.
A compliance week
- Monday: the SIA renewal queue filtered to the 90-day notice window; next actions worked top down.
- Tuesday: pending telephone screening and pending BS 7858 lists; P-Files with the lowest progress first.
- Wednesday: visa and passport expiries in the next 90 days; share codes rechecked where due.
- Thursday: complaints register and CAPA entries reviewed for closure; equipment register checked.
- Friday: Compliance and ACS Evidence reports run; training bookings confirmed for officers due.

Answering the assessor
An ACS assessment samples. The assessor picks officers and sites and asks for the file. In BOOK ON the officer’s P-File shows the licence, the screening checklist, references, training and declarations; the site’s client file shows assignment instructions and the risk assessment; the live monitor and reports show attendance, check calls and incidents for the sampled period; and the history and permission reports show who changed what and who can see what.

Compliance questions
How do I know when a licence was last checked?
The SIA renewal queue shows the last-checked date against each licence and a badge when all have been checked within 90 days.
Can I see every officer whose screening is incomplete?
Yes. The Pending Telephone Screening and Pending BS 7858 lists on the HR dashboard, and the P-File progress rings, show incomplete files with the days pending.
Does it cover subcontractor officers?
Yes. Sub officers have the same records, with separate expiry tables by subcontractor and an approved supplier register.
Can officers upload their own documents?
Yes. Officers register through an invitation link and upload documents through the app; HR reviews and approves, and a profile lock prevents later changes.
What about Martyn’s Law?
The Martyn’s Law page lists the records a venue will ask a contractor for and where they are in BOOK ON.
Can I restrict who sees personal data?
Yes. Roles and permissions control access per screen, and permission reports show the result.
