Search for security guard management software in the UK and you will find a dozen platforms that all say “all-in-one”. They are not the same product. Some are enterprise suites built for the largest multi-service contractors, some charge per user with a minimum seat count, some sell fixed monthly bands by guard count with add-ons, some publish no price at all, and some are generic rota tools with no UK compliance vocabulary. This page sets out those categories, what they typically charge and leave out, and the questions that separate a good fit from an expensive one.

BOOK ON SIA Renewal Queue with status counters, next actions and last-checked dates
UK compliance built in: the SIA renewal queue with a next action per officer.

Five kinds of platform you will meet

Enterprise workforce suites

Built for the largest contractors, often cleaning and security under one roof, sold in packs and priced on a demo. Deep, but a 30 to 300 officer company tends to pay for packs it does not open, and changes can go through a ticket rather than a controller.

Per-user subscriptions

A price per user per month, usually in tiers with a minimum seat count and the features you want in the tier above. Controllers, managers and office staff count as users, so the bill grows with every login, not with the work.

Fixed monthly bands

A flat price for up to 50, 100 or 200 guards, with extra-guard fees above the band and paid add-ons for the pieces a security company actually needs: patrol checkpoints, payroll export, body-worn video, dispatch.

Quote-only platforms

No published price; tiers based on shifts or guards scheduled, agreed on a call. Fine for a large buyer with a procurement team; hard for a 40-officer company that wants to know what next month costs.

Generic rota and attendance tools

Cheap and quick to publish shifts, with no SIA licence tracking, BS 7858 screening, check calls or ACS evidence. Compliance stays in a spreadsheet beside the app.

BOOK ON

UK-built for security companies: one subscription at £2.95 per worked officer per month with every feature included, counted once per officer per calendar month, office users not counted. Operate, Compliance and Accounts on one record.

Ranges are what leading UK platforms’ pricing pages showed on 29 October 2026, in pounds sterling, without naming any vendor. Prices change; check the vendor’s page before you decide. Some platforms also charge per BS 7858 report and for SMS and call minutes; those are not in the ranges.

The gaps buyers tell us about

  • The feature you need is in the next tier up, so the real price is never the headline price.
  • Office users are counted, so three controllers and a payroll clerk cost as much as four officers.
  • Minimum seat counts and 12-month terms lock a 20-officer company into a 50-officer bill.
  • Licence expiry lives in a report you have to run, not a queue that says what to do next.
  • Check calls are a phone list and the welfare record is whatever the controller wrote down.
  • Keyholding is “supported” but there is no alarm desk with a response clock.
  • Invoices are retyped from timesheets because the two live in different systems.
BOOK ON sales invoice fetched from approved timesheets by client, site and date range
One record from roster to invoice, so nothing is retyped.

A checklist for your shortlist

  • Is the price on the website, and what unit is it per: user, guard band, shift or worked officer?
  • Do office users count, and is there a minimum seat count or a setup fee?
  • Which features are add-ons, and what does the full set cost for your headcount?
  • Does it check SIA licences per officer and show a renewal queue with a next action?
  • Does it hold BS 7858 screening per officer and produce ACS evidence reports?
  • Are check calls and lone worker welfare on the live board, with missed calls visible?
  • Is there an alarm response desk with SLA clocks, or just a keyholding record?
  • Does the invoice come from the approved timesheet, or from a spreadsheet?
  • How long is onboarding, and can you import your rota from Excel?
  • What is the contract term, and how do you get your data out?

Comparison questions

What is the best security guard management software in the UK?

The one whose counting unit and feature set match the way you run contracts. A company with 30 to 300 officers that needs SIA, BS 7858, check calls and invoicing on one record is usually better served by a UK-built platform with a published per-officer price than by an enterprise suite or a generic rota tool.

Why do you not name other vendors?

Because prices and features change and a named comparison goes stale within weeks. We describe the categories and the published ranges on the date stated, and we recommend reading each vendor’s own page before you decide.

Is BOOK ON the cheapest?

Not necessarily for every headcount, and we do not claim to be. For a company with office staff and several controllers, counting only worked officers usually comes out lower than per-user tiers; compare on your own numbers with our pricing calculator.

Does a software subscription make us ACS or BS 7858 compliant?

No software does. BOOK ON produces the records and reports an assessor asks for; compliance is your company’s own work.

How do I run a fair trial?

Bring one real week of rota, your licence list and one client’s invoice to each demo, and ask for the same three things to be shown: the rota built, the invoice produced and the licence queue populated.
